Terms of Service

These terms cover using Traqmon, check-in and check-out software for Kumon centers. They are written to be read rather than survived.

Not legal advice, and not yet reviewed by a lawyer. Have them reviewed before relying on them.


What the service is

Traqmon records when students arrive, when they finish their work and when they are collected, and helps your staff release each child to the right adult. It also carries schedules, class notes, achievement and placement test results, a reading library, and a roster brought in from K-SIS.

It is a record, not a supervisor. It tells your staff who is in the building and what your own records say about who may collect them. Every decision to release a child to a particular adult is made by your staff, in person. When a name does not match, the software flags it — it does not and cannot prevent anything, and it is not a substitute for a member of staff looking at who is standing there.


Your account

One account per person. Shared logins defeat the point of a record that says who did what, and a center that shares one has no meaningful audit trail.

You are responsible for who you invite and what permission level you give them. Removing someone's access when they leave is your job, and the software makes it one click.


What you are responsible for


Texting

Texting is off until you switch it on. Switching it on requires you to confirm you have permission from the guardians you intend to text. We record that confirmation. We do not verify it, and obtaining it is yours to do.

A pickup text is a notice. It tells a guardian their child has finished and offers a link to confirm they are coming. It is not an agreement, it does not transfer responsibility for a child, and confirming it does not release anybody from anything. Only a member of your staff releases a child, in person.

Guardians can stop messages at any time by replying STOP, which takes effect immediately and which we will not override.


What it costs

The subscription is billed monthly or yearly in advance at the price quoted when you signed up. We will tell you before a price changes, and never change one mid-term.

Text messaging, if you use it, is billed as a service fee plus the phone companies' own charges at cost. We add nothing to the carrier charges. Those include the per-message fee, your phone number, the one-time registration every US business sending texts must complete, the monthly campaign fee, and charges for messages a carrier rejects — and any future charge of the same kind, because the carriers introduce them faster than anyone updates a page. You set a monthly ceiling, and at the ceiling texting falls back to composing from your own phone rather than spending past it.

Your phone number and carrier registration cost money every month whether or not a single message is sent, including months you are closed. Pausing stops messages, not charges. Switching texting off releases them and stops the charges — and means a new number and a fresh multi-week registration when you come back.

Sales tax is charged separately where it applies.

This is deliberate and it cuts both ways: no surprise mid-cycle charge when you grow, and no partial refund when you leave.


Cancelling

Cancel whenever you like, from Settings. You keep access to the end of the period you have paid for.

We will never lock you out of checking children in and out. Not for a failed card, not for cancellation, not ever. A center uses this to know which children are in its building; the answer to "did that payment go through" must never be "we cannot tell you who is here." If an account goes unpaid, administrative functions become read-only while check-in, check-out, the present roster and the release queue keep working.

Cancelling does not delete your data. You get an export and a 90-day window to change your mind or take it elsewhere. After that the account closes, and each kind of record continues on the retention schedule described in the Privacy Policy — which is not a deletion schedule and never was.


What is included, and what is not

Included: one guided onboarding session, a standard roster migration, email support and the in-app help form, and everything in the core plan at every size.

Not included: unusual data cleanup, which we will quote before doing any of; custom features built for one center; and a guaranteed support response time, which we would rather not promise than miss.

K-SIS sync is supported, not guaranteed. It reads a system we do not control and a change on Kumon's side can break it until we catch up. File import is always available and never depends on it, which is why import stays in the core plan.


Uptime, and the honest version of it

We aim to keep the service available whenever centers are open, and we watch it. We do not offer a contractual uptime guarantee, and you should not plan as though outages cannot happen.

What the product does about that is more useful than a percentage: check-in works with no internet at all. Scans queue on the device and send themselves when the connection returns. A front desk keeps running through an outage of ours or of yours.


Liability

We will run this carefully. But software can fail, and Traqmon is not responsible for the supervision, safety or release of any child. That responsibility sits with your center and your staff, who are the ones present.

To the extent the law allows, our liability for any claim relating to the service is limited to the amount you paid us in the twelve months before it arose, and we are not liable for indirect or consequential loss.

Nothing here limits liability that cannot lawfully be limited.


Changes

We will tell centers before these terms change in any way that matters, rather than after. Continuing to use the service after a change means accepting it. The date at the top always reflects the current version.
